The Payroll Tax Specialist will report directly to the Senior Payroll Manager. As the payroll tax subject matter expert, this position will be the liaison between ADP, Payroll, Corporate Tax, Finance and various federal, state, local, and provincial tax authorities in the US and Canada. The Payroll Tax Specialist is responsible for the accurate setup and account maintenance of tax jurisdictions, tracking and successful resolution of agency tax notices, quarterly/annual payroll tax activities, audits, and special projects as assigned. The successful candidate can work independently in a remote environment while successfully working as part of the Payroll team, prioritizes tasks to ensure deadlines are met, is able to work under pressure, has strong research and analytical abilities, can resolve complex tax issues on a timely basis, communicates well, is detailed, task oriented, and is proficient in using Excel V-Lookup, Pivot Tables, and a wide use of formulas. This position is a contract position.

Job Responsibilities

  • Independently research, document, and resolve new and legacy federal, state, provincial, and local tax notices, including managing correspondence from agencies and third-party vendors, and initiating payments as needed.
  • Log incoming tax emails daily and track the lifecycle of each tax notice from receipt to final resolution to avoid P&I.
  • Update and maintain tax account information and rates in ADP SmartCompliance.
  • Work with various tax agencies and ADP to apply for new tax accounts and/or reactivate inactive accounts as needed.
  • Update and maintain tax jurisdiction user login spreadsheet.
  • Monitor and action ADP SmartCompliance tasks, run various tax filing reports, and pull invoices as needed.
  • Resolve missing TPA’s, POA’s, Applied For ID’s, and account registrations to ensure ADP quarterly/annual tax filings process accurately and successfully.
  • Actively participate in quarter-end and year-end tasks, including balancing, reconciliation, W-2 processing, W-2c’s, amendments, T-4’s, Workers’ Comp, multi-worksite reporting, BLS requests, audits, and special projects as assigned.

  • Must be reliable, dependable, have a strong work ethic, and can work both independently and as a team.
  • Strong analytical and research skills with the ability to draw insights from data.
  • Intermediate Excel skills including V-Lookup, Pivot Tables, and wide use of formulas.
  • Safeguards and protects the confidential nature of employee information and documents, while always maintaining strict privacy.
  • Excellent written and verbal communication skills.

Experience

  • 3-5 years US multi-state payroll tax compliance, filing, and resolution preferably using ADP SmartCompliance a plus.
  • Canadian payroll tax experience a plus.

Education Requirements

  • APA Fundamental Payroll Certification (FPC) and/or Certified Payroll Professional (CPP) preferred.
  • Intermediate Proficiency with MS Office Excel and MS Office software.

Physical Requirements

  • Stationary Sitting: Long periods working at a desk.
  • Fine Motor Skills/Manual Dexterity: Frequent typing, using a mouse, and operating office equipment.
  • Visual Acuity: Ability to view computer monitors for long periods and read small print, with close-up vision (approx. 20 inches or less).
  • Physical Strength: Occasional light lifting (files, laptops, small boxes) usually restricted to 10-20 lbs.
